The Executive Assistant for Finance will have responsibility for assisting in all aspects of organizing the work of the Chief Financial Officer and the Finance department. In this capacity, the Executive Assistant is the public voice of the unit head with internal and external colleagues and constituencies, and must project a professional persona consistent with the values of the Foundation. The Executive Assistant reports to the Chief Financial Officer.
Responsibilities:

- Receives and handles incoming and outgoing mail and telephone calls
- Maintains files
- Proofreads and edits materials and types reports
- Responsible for basic analytic and accounts payable work
- Composes and prepares routine responses to correspondence
- Arranges appointments and travel
- Maintains the calendar for both the director and the unit
- Serves as a liaison with other departments within the Foundation
- Conducts general office administration duties
- Provides administrative management of consultant contracts
- Ensures the office supplies are adequate at all times
- Performs other duties as assigned

The Executive Assistant has primary responsibility for assisting in all aspects of the work of the Human Resources department. The Executive Assistant is required to interact with all levels of staff as well as others external to the Foundation. The Executive Assistant reports to the Director, Human Resources and provides support to the Associate Director.
Requirements:
- Four year undergraduate degree or equivalent experience
- Minimum of three years related work experience
- Strong computer skills: MS Word, Excel, Outlook PowerPoint, HRIS (PDS); ability to quickly learn new applications
Responsibilities:
- Provide administrative support to the Director, Human Resources and the Associate Director, Staffing and Employee Relations: Answer phones, open and sort mail, route, track and follow up on mail and other sensitive documents, schedule appointments and maintain calendar; track and follow up on time sensitive documents, reports and project status;.
- Make travel arrangements and prepare itinerary; set up and maintain filing system for shared department records, prepare appropriate presentation materials for meetings and conferences.
- Assist with mass mailings and other special projects; schedule special staff lunches, department staff and committee meetings; schedule, take minutes and track action items for HR staff meetings;
- Track and maintain contract information in the ATLAS.
- Track and maintain information for purchase orders.
- Act as content maintainer for ROCKLink. Work with HR team members to foster interest and involvement for developing, updating and maintaining content of related community pages.
- Provide back-up support for entry of information in the Foundation’s human resources information system (HRIS).
- Provide general departmental office support
- Other tasks as assigned.

This position is based in Bangkok, Thailand and reports jointly to the Vice-President, Strategy and the Chief Operating Officer, both of whom are based in New York.
RESPONSIBILITIES include but are not limited to:
Leadership and Project Management:
- Develops the Southeast Asian strategy for initiative development and implementation as appropriate, working closely with the Associate Directors based in Bangkok and the Managing and Associate Directors in New York.
- Manages the Bangkok regional offices’ human and financial resources
- Ensures the timely implementation of a high quality, efficient program that addresses the regional program’s strategy
- Manages and motivates assigned staff through effective leadership, mentoring, communication, coaching, development, facilitation, evaluation and rewards and works with the Associate Vice President in New York in mentoring Foundation initiative staff
- Develops and proposes the offices’ annual and long-term program and administrative budgets
- Ensures effective and responsible use of the Foundation’s administrative systems and resources
- Evaluates proposed unit grants/FAPs, ensuring they meet all legal and fiscal requirements
- Prepares high quality program documents for the Foundation’s board and other audiences
- Works with the VP and MD of Evaluation, based in NY in managing ongoing initiatives to ensure they meet milestones by troubleshooting, making mid-course corrections and sharing knowledge of successes and failures, and improving results as programs mature
- Ensures effective leadership within the unit as well as with other units and regional offices of the Foundation and with external constituencies, including grantees, consultants and other Foundation and government partners
- Provides professional leadership and representation for the Foundation’s initiatives in Southeast Asia.
Initiative Development and Management:
- Manages and leads initiative execution, including work with diverse grantees and funding partners for the Southeast Asian region
- Serves as the primary expert in the field of climate change representing the Southeast Asia region
- Brings intellectual leadership and creative thinking to the design and development of new program initiatives that flexibly respond to opportunities that are high impact and are responsive to need
- Initiates and executes an implementation strategy, working as a member or leader of a team
- Works with program staff, grantees and partners to facilitate the flow of information, evaluation and learning
- Represents the Foundation in diverse communities, including speaking engagements, attending conferences and participating in other key internal and external meetings
- Partners with other MDs to ensure cross fertilization of initiatives
- Participates in Initiative Management Team (IMT) and other relevant Foundation meetings through videoconference and periodic visits to NYC.

The Facilities Manager, reporting to Director, Facilities & Administrative Services, is a senior professional member of the Facilities & Administrative Services team. This position manages and maintains the facilities and services needed to meet on-going organizational needs and respond to future needs.
The Facilities Manager collaborates with users, service providers and contractors to plan and manage safe, secure work spaces aligned to organizational needs. The Facilities Manager oversees the coordination of building space use allocation and layout, oversees maintenance activities and workers engaged in security, equipment installation, facilities equipment repair and preventative maintenance, and energy management systems. This position will also plan, budget and schedule facilities modifications in the space owned by RF and advises on modifications for RF offices outside of NY and other leased space
RESPONSIBILITIES include but are not limited to:
- Implement facilities programs such as OSHA, emergency evacuation etc. Maintain the Foundation’s facilities in New York while ensuring compliance with health, safety and emergency readiness programs.
- Manages the department in the absence of the director.
- Lend guidance to other domestic and overseas offices in terms of best practices in facilities management.
- Assist in the development and management of budget and financial processes for standard and unique facilities and space use programs; execute space use plans.
- Create standard and ad hoc reports about facilities use and maintenance.
- Oversee furniture and furnishings procurement, inventory, repairs, donations and warehousing.
- Develop and manage annual calendar of facilities and space use planning and program management responsibilities, in collaboration with Director.
- Collaborate with Director, Facilities & Administrative Services and Finance to manage and monitor the ongoing billing and financial administration functions for facilities and related programs.
- Network with internal professional resources, global colleagues and external service providers to share know-how about managing and coordinating related services.
